How Promethean Clinic collects, uses, and protects your personal and health information.
Promethean Clinic (Promethean, we, us, or our) provides medically led aesthetic, wellness, and longevity care from 1111 West Georgia Street, Vancouver, British Columbia. This policy explains how we collect, use, disclose, and protect personal information, including health information, through our website and our clinic services.
1. The Law We Follow
As a private clinic operating in British Columbia, we handle personal information under the Personal Information Protection Act of British Columbia. Our regulated health professionals are also bound by the confidentiality and records obligations of their professional colleges, which apply on top of this policy and are not reduced by it.
2. Information We Collect
We collect only what we need, and what we collect depends on how you interact with us.
- When you use this website. Your IP address, browser and device type, the pages you view, how you arrived, and how long you stay. This is collected through the analytics and advertising tools described in section 5.
- When you submit an enquiry or consultation request. Your name, contact details, and anything you choose to tell us about what you are interested in. Please do not send detailed medical history through the website form; bring it to your consultation instead.
- When you become a patient. Health history, medications and allergies, assessment findings, treatment records, consent forms, photographs where you have agreed to them, and billing information. This is the most sensitive information we hold and it is treated accordingly.
- If you subscribe to our newsletter. Your name and email address, until you unsubscribe.
3. How We Use Your Information
We use personal information to respond to your enquiry, to assess whether a treatment is appropriate for you, to plan and deliver care, to keep the clinical records our professional obligations require, to take payment, to contact you about your appointments, and to meet legal and regulatory requirements. We also use website analytics to understand which pages are useful and to measure our advertising.
We do not use your health information for advertising, and we do not upload patient lists to advertising platforms.
4. Consent, and How to Withdraw It
We collect and use personal information with your consent. For clinical care, consent is discussed with you directly and recorded as part of your treatment. For marketing emails, consent is express, and every message includes an unsubscribe link.
You can withdraw consent at any time by contacting us, subject to legal and professional record keeping obligations that require us to retain clinical records even after you stop attending. Withdrawing consent may mean we can no longer provide a particular treatment.
5. Cookies and Similar Technologies
A cookie is a small text file a website asks your browser to store, so that it can recognise your browser on a later page or a later visit. Similar technologies, such as pixels and local storage, do the same job in a slightly different way. This section explains exactly which ones this site uses and what you can do about them.
We do not set any cookies of our own. Browsing this website does not cause Promethean Clinic to store anything in your browser. Every cookie described below is set by Google or Meta, through the tags we load using Google Tag Manager. Google Tag Manager itself does not set cookies.
Analytics cookies
These tell us how the site is used, in aggregate. We use them to see which pages people find useful and where they give up.
- _ga, set by Google Analytics, to tell one browser apart from another. Typically expires after two years.
- _ga_15MHHT06G9, set by Google Analytics, to keep track of a single visit. Typically expires after two years.
Advertising cookies
These measure whether our advertising works, and allow our ads to be shown to people who have already visited this site. That last part is usually called remarketing, and it is why you may see us on Facebook, Instagram, or across Google after visiting.
- _gcl_au, set by Google Ads, to link an ad click to an enquiry so we can tell which advertising is worth paying for. Typically expires after 90 days.
- _fbp, set by the Meta pixel, to measure and target advertising on Facebook and Instagram. Typically expires after 90 days.
- _fbc, set by the Meta pixel only if you arrive here from a Facebook or Instagram ad, to connect that click to what you do on the site. Typically expires after 90 days.
What these tools receive, and what they do not
Google and Meta receive information about your activity on this website, such as the pages you view, roughly where you are, and what device and browser you use. They do not receive your health information, your treatment records, or anything you tell us at your consultation. We do not upload patient lists to advertising platforms and we do not build advertising audiences from clinical information.
How to control cookies
You are not stuck with any of this, and the site works perfectly well without these cookies. None of them are needed for the site to function, so blocking them will not break anything or stop you booking a consultation.
- In your browser. Every major browser lets you block or delete cookies, and block third party cookies specifically, in its privacy settings. Private or incognito windows discard them when you close the window.
- Google Analytics. Google publishes a browser add on that opts you out of Google Analytics on every site, not just this one.
- Google advertising. You can change what Google uses to personalise ads for you, including turning personalisation off, in your Google Ads Settings.
- Meta advertising. You can change how your activity off Facebook and Instagram is used for advertising in the ad preferences of your Facebook or Instagram account.
- Do Not Track. Browsers vary in how they send this signal and there is no agreed standard for honouring it, so we do not claim to respond to it. The controls above are the ones that actually work.
If you would like to know more about how a specific cookie is used, contact our Privacy Officer using the details in section 12 and we will explain it.
6. We Do Not Sell Your Information
We do not sell, rent, or trade personal information to anyone, for any purpose. We have never done so and we do not intend to.
7. Who We Share Information With
We share personal information only where it is necessary, and only in these situations:
- Service providers who operate the clinic and this website, such as our website host, email and form delivery providers, scheduling and payment processors, and the analytics and advertising platforms named above. They may use the information only to provide the service to us.
- Other health professionals, where you have asked us to share information or where it is necessary for your care and you have consented.
- Where the law requires it, including a court order or a lawful demand from a regulator.
8. Where Your Information Is Stored
Some of our service providers, including Google and Meta, operate outside Canada, including in the United States. Where information is stored or processed outside Canada, it may be accessible to the courts and law enforcement of that country under its laws. Clinical records are held in systems used by the clinic for that purpose.
9. How We Protect Your Information
We use administrative, physical, and technical safeguards appropriate to the sensitivity of the information. That includes restricting access to those who need it to do their work, confidentiality obligations for everyone on our team, secure storage of clinical records, and secure transmission of information through this website.
No system is completely secure. If a privacy breach occurs that creates a real risk of significant harm, we will notify affected individuals and any regulator required by law.
10. How Long We Keep Your Information
We keep clinical records for at least the minimum period required by the professional and legal record keeping obligations that apply to our practitioners in British Columbia, and then dispose of them securely. Website enquiries that do not become appointments are kept only as long as needed to deal with the enquiry. Newsletter subscriptions are kept until you unsubscribe.
11. Your Rights
You have the right to ask what personal information we hold about you and to receive a copy, to ask us to correct anything inaccurate, to withdraw consent as described in section 4, and to ask how your information has been used and who it has been disclosed to. We will respond within the timeframe required by law. In limited cases the law allows us to withhold information, and if that happens we will tell you why.
12. Contact Us, or Make a Complaint
Privacy questions, access requests, and complaints go to our Privacy Officer:
Privacy Officer, Promethean Clinic
1111 W Georgia St Suite 1330, Vancouver, BC V6E 4M3
Telephone (778) 879-7666
You can also reach us through the contact form. We will acknowledge your request and tell you who is handling it.
If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia, which oversees private sector privacy in this province.
13. Changes to This Policy
We may update this policy as our practices or the law change. The current version is always the one posted on this page, and the effective date below tells you when it last changed. Material changes will be highlighted on this page.
14. Effective Date
This policy is in effect as of 12 August 2026.
